Organizational context
The Gambia Red Cross Society is the largest humanitarian institution in the country, with a presence in all regions and over 17,500 volunteers. It is a member of the International Red Cross Movement and is committed to its seven principles, Humanity, Impartiality, Neutrality, Independence, Voluntarism, Unity and Universality. We strive to save lives and alleviate human suffering. We are organized through different programmes such as Disaster Management, Health & WASH, Migration and Displacement, Humanitarian Diplomacy and Education, Food Security and Livelihoods, Youth and Volunteer Engagement, and Gender & Diversity. We count on the support of national and international donors, as well as the cooperation of other National Societies, the International Committee of Red Cross and the International Federation of Red Cross and Red Crescent Societies.
The Gambian Red Cross (GRCS) and Spanish Red Cross (SpRC) have been carrying out programmatic actions/interventions in The Gambia since 2008, targeting populations in situations of high vulnerability related to Health, WASH and Migration. This position is funded by the European Union through the project “Assistance and social support to migrants in The Gambia” which runs from 2025 to 2029.
Job purpose
Under the direct supervision of the Branch Officer and with technical oversight from the HQ Finance and Administration Department, the position holder will play a key role in ensuring effective administrative, financial and logistics support for the implementation of project activities at regional level.
The position is responsible for the day to day management of petty cash, accurate collection and verification of financial and administrative documentation, and the timely transmission of records to Headquarters, ensuring compliance and accountability across all regional project operations.
The Administrative Assistant will provide essential support to project regional staff and volunteers, facilitate smooth coordination between field offices and HQ teams, and contribute to maintaining strong financial discipline and operational efficiency.
Six positions will be recruited to cover six regional offices.

All of them will require frequent trips to districts where migrant EU project interventions are implemented, although occasional trips to Kanifing Municipality (GRCS HQ) might be required on the needs of the project.
Job duties and responsibilities
1. Support the Branch Officer in the organization and execution of day-to-day management of the Branch.
2. Support the Branch Officer in the administrative tasks relating to the functioning of Red Cross activities in the region.
3. Work with the Branch Officer and other thematic leads in the branch to prepare Branch programs budgets for submission to HQ through the line manager.
4. Monitor and advice on sound financial management in all Red Cross programs and activities in the region and report to the Branch Officer as required.
5. Organise fundraising and other resource mobilisation activities in the region, in collaboration with the Branch Officer, and branch executive members.
6. Support the Regional Migration Officer in all the activities of the EU migration project.
7. Ensure compliance with the financial and logistic procedures and policies of the GRCS across all programmes and projects.
8. Support the recruitment of new members and the establishment of new groups and links in line with National Volunteer Management Guideline and code of conduct.
9. Be responsible for staff attendance register
10. Support the Branch Officer with the management of fleet at the regional level.
11. Disseminate the principles and mission of the Red Cross, and ensure the proper usage of the emblem in collaboration with the relevant concerned units within the National Society.
Finance and Accounting Functions
1. Responsible of receiving and receipting of all branch funds.
2. Depositing of funds to the Branch’s designated Bank Account/s.
3. Maintain and raise payment vouchers for all payment and to ensure proper authorization and supporting documentation.
4. Manage the Branch’s petty cash, including custody and perform bi-weekly Petty cash reconciliation
5. To be responsible for the usage and custody of all accountable documents and to make them available whenever requested for.
6. Support the Branch Officer to ensure the payments of all subscriptions and dues from volunteer groups.
7. Prepare and submit quarterly reports to the Branch Officer.
8. Support the Regional Migration Officer to ensure the payments for the EU migration project activities.
9. Prepare and submit monthly justifications of the EU migration project expenses, in coordination with Project Finance Officers at HQ level
10. Collaborate in the collection of documentation required within the framework of the project’s justification.
11. Send the original documents within the established period of each month to HQ.
Position Requirements
Education Required Preferred
- Minimum requirement CAT/AAT certification introductory level.
Experience Required Preferred
- 1-3 years’ of relevant work experience.
- Experience working in humanitarian organisation and in emergencies.
- Experience working in the Red Cross Movement.
Knowledge and Skills Required Preferred
- Familiarity with basic accounting systems
- Proficiency in MS Office applications (Word, Excel, PowerPoint)
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Strong attention to detail and accuracy.
- Excellent interpersonal skills
Languages Required Preferred
- Fluent in English
- Good command of at least two local languages X
